1. Overview

We proudly offer an innovative platform, VisitRecap, to help individuals summarize, organize, and reflect on information from their healthcare visits and prepare questions or notes for future visits. VisitRecap is intended solely for informational, educational, and organizational purposes.

We process your Personal Information only to the extent necessary for the purposes described in this Privacy Policy. Except as set forth here, your Personal Information will not be used for any other purpose without your consent, and you may withdraw consent at any time.

VisitRecap does not create or maintain official medical records and is not a substitute for medical advice, diagnosis, or treatment. Summaries are informational only and may contain inaccuracies — always consult your healthcare providers and rely on their official records.

Certain features use automated systems and artificial intelligence to process information and generate summaries. These outputs are generated automatically and may not always be accurate or complete; review them carefully and confirm important information with your provider.

2. Collection and use of personal information

As medical AI software, we may collect Personal Health Information provided by your healthcare practitioners or by you during use of the Services. Raw information is processed by the Services to generate summaries. We may also collect information through web forms, along with name, contact details, and payment information.

If audio or voice inputs are used, such audio may be temporarily processed to generate transcripts or summaries. Raw audio recordings are not permanently stored and are deleted after processing where technically feasible.

We may collect device information, server logs, and cookie data to diagnose issues, maintain security, and improve the overall quality and experience of our Services.

We use this information to provide, operate, maintain and improve the Services; send technical and administrative messages; complete transactions; respond to requests; prevent fraud; and analyze usage — always in line with this policy.

3. Storage location and transfer

We process and store data on servers located in Canada and the United States, and we may transfer data to third-party service providers. You acknowledge your Personal Information may be accessible to law enforcement and governmental agencies under lawful access regimes or court order.

4. Disclosure to third parties

We may employ third parties to perform tasks for us and share information as necessary for those tasks (for example, database management, payment processing, and customer relationship tools). These providers may not use your information beyond what is necessary to perform their work for us.

If our business is acquired or undergoes a change of control, Personal Information may be transferred to the new entity, subject to the protections in this policy. We may also disclose information where required by law, to enforce our agreements, or to detect and prevent fraud, security, or technical issues.

We implement reasonable administrative, technical, and organizational safeguards to protect Personal Information. No internet transmission or storage system can be guaranteed to be completely secure.

5. Retention

We keep Personal Information for as long as necessary for the identified purpose or as required by law. Raw Personal Health Information collected through the Services is deleted after processing; the resulting Summary is retained as long as necessary for the identified purpose or as required by law.

6. Access, correction and accuracy

You have the right to access the Personal Information we hold about you and to request corrections. Upon written request we will provide a copy of your Personal Information, subject to limited legal exceptions. We provide mechanisms to update, correct, delete, or add to your information as appropriate.

7. Additional rights & compliance

California residents have specific rights under the CCPA, including the right to know, delete, and opt out of any "sales" of Personal Information. We do not sell the Personal Information we collect.

We operate in accordance with applicable privacy legislation, including PIPEDA (Canada) and HIPAA (United States). The Services are not intended for individuals under 16 without parental supervision, and we do not knowingly collect information from children under 13.

These Terms contain important information about your rights and obligations, including conditions, limitations, and exclusions that may apply to you. Please read them carefully. These Terms require the use of arbitration to resolve disputes rather than recourse to the judicial system.

1. Background

VisitRecap is a patient-facing informational tool designed to help patients understand and remember what was discussed during a medical encounter, providing a structured, plain-language recap and helping individuals prepare questions or notes for future visits.

2. Disclaimer

VisitRecap does not provide medical advice, is not a healthcare provider, and does not create a doctor–patient relationship. The Services are not a substitute for professional medical care. VisitRecap does not record or store audio and does not create or maintain official medical records.

The Services use automated systems and AI to generate summaries, which may be inaccurate, incomplete, or misleading. Review all outputs carefully and consult a qualified healthcare professional for all health advice. If you have symptoms or signs of illness, contact a healthcare provider immediately.

3. Eligibility & accounts

You must be authorized to enter into this agreement in your jurisdiction and comply with all applicable laws. To use the Services you must create an account, provide accurate information, keep your credentials confidential, and notify us of any unauthorized access.

4. Your information & data

VisitRecap processes only text you voluntarily enter, solely to provide the Services. We do not store audio, do not integrate with electronic medical record systems, and do not generate official medical documentation.

You retain ownership of the data you provide. By using the Services you grant VisitRecap a limited, non-exclusive, revocable license to process your data to provide the Services. We will not sell, license, or use your data for secondary purposes.

5. User responsibilities

You are solely responsible for the accuracy and completeness of the information you provide, for complying with applicable laws, and for obtaining all necessary consents and permissions — including your provider’s consent — before submitting information. VisitRecap is a support tool only and does not replace clinical judgment.

6. Payment & billing

All customers may access a free tier of the Services. A premium tier may be offered for a fee via third-party payment processors. Where applicable, subscriptions may be billed monthly or annually, renew automatically unless canceled, and are non-refundable unless otherwise stated. Pricing is set out on this website.

7. Restrictions, liability & arbitration

You may not copy, modify, reverse engineer, resell, or misuse the Services, or use them to provide medical advice. The Services are provided "as is" without warranties of any kind, to the maximum extent permitted by law.

Our aggregate liability is limited to the fees paid in the twelve (12) months preceding the event giving rise to liability. Unless prohibited by law, disputes will be resolved by binding arbitration administered under the Arbitration Act, 1991 and held in Sudbury, Ontario.
